Welcome to the Team!
Welcome to the Greening Program with Austin Parks Foundation (APF) and Austin City Limits Music Festival (ACL)! You’re a part of a 250+ strong team with a united goal: to support APF’s Recycling in Parks initiative and tell ACL Fest fans about APF’s mission to improve and maintain Austin’s parks, trails, and green spaces.
You’ll help make the festival a positive experience by interacting with patrons focusing on environmental stewardship. ACL Fest is a fun, friendly festival thanks to the support of hundreds of people like you. Thank you for supporting Austin Parks Foundation at ACL Fest!
The Greening Program Teams & New Additions
When you throw an outdoor party as big as ACL Music Festival (ACL Fest), there’s more to think about than just putting on an amazing rock show. That’s why this year, there are TWO teams where you can help out.
The Rock & Recycle program encourages festival attendees to pick up a bag of recyclables from the festival grounds in exchange for a specially designed ACL Fest line-up tee. Participants will be entered to win a Fairdale bicycle each weekend, and there will be a drawing for a pair of 2019 ACL Fest tickets every night.
The Divert It! program encourages and educates attendees to divert waste from the festival toward composting efforts.
For the past 13 years, Austin Parks Foundation (APF) has been the presenting partner and primary beneficiary of ACL Fest, and last year became the presenting sponsor of the Rock & Recycle Program. This year, APF will make the festival greener by encouraging recycling, and for every participant in the Rock & Recycle program, APF will allocate $5 to the Recycling in Parks initiative. Beyond that, APF will also make the festival greener by diverting waste from landfills.
In addition to the established program, APF has brought together partners to add additional activities. These will include:
- Recycling Tour: In partnership with HOPE (of the HOPE outdoor gallery), APF is placing 12 artist-designed recycling bins throughout the park. Festival attendees can visit each of the 12 bins to learn a little about APF’s recycling efforts, ACL’s greening programs and more.
- Keep Austin Beautiful Relays: Keep Austin Beautiful will teach fans about how litter travels fast in our urban watershed, as well as how to properly recycle and compost with a fun relay race activity.
- Don’t Mess With Texas: TXDOT’s signature litter abatement campaign will be on-site to remind festival attendees that our parks, trails, and green spaces are no place for litter.
- Kammok Lounge: This local Austin brand, which is focused on community and the great outdoors and passion for gear that promotes access to thriving public green spaces, will host festival goers in a shady hammock lounge in partnership with NIDO structures. Come hang with us!
- Live Painting with HOPE: As a special treat, the artists that design the 12 Recycling Tour bins, and special Rock & Recycle line-up tees, will be on-site each day of the festival. Fans can stop by to watch the masters work!

Preparing for Your Shift
1. Visit the Festival’s website (www.aclfestival.com) to review the festival map and become familiar with the festival layout: stage locations, Information booths, box offices, the Access Center, etc. The festival covers a large area and no matter which team you are on, a patron or volunteer may turn to you for directions. Keep in mind there have been major changes from previous years, so take some time with this even if you are an ACL veteran. First and foremost, make sure you know how to send people to the main Info Booth, and Main Rock & Recycle tent. It really helps if you show up on day one with a good sense of direction (which stage is East; which stage is West, etc.).
Learn more about our work by exploring austinparks.org, or visit us on facebook, twitter and instagram.
Volunteer Check-in & Wristbands
Check in 30 minutes before your shift time at Volunteer HQ. If your shift starts later in the day, you may stop by Volunteer HQ for your wristband earlier in the day to get your wristband and enjoy the festival, but DO NOT BE LATE TO VOLUNTEER HQ FOR YOUR SHIFT!
Note the location of volunteer check-in – it’s between the Barton Springs West Entrance and the Zilker Playground – behind the new Barton Springs Stage. Look for signs that read Ambassador/Volunteer HQ, and then find the Greening Program Volunteer check-in area (You’ll see a lot of people in APF t-shirts, sitting close to a large pile of APF t-shirts).
- Present your photo id, and the registrar will check you in and issue a wristband valid for just that day. The wristband will be activated and registered to your name. You must then place the wristband on your wrist.
- Please be aware that the wristband you receive belongs to you only and must be worn on valid festival days. Do not remove it before or during the festival day of your shift. Treat wristbands like cash. Lost, stolen or confiscated wristbands will not be replaced. Any wristband issued to you is non-transferrable. Also note that the wristband is for public areas only and is not valid for production, backstage, VIP, or other restricted areas.
- Fill out a name badge (first name only). These materials will be at Volunteer HQ.
- If you have an afternoon or late shift and want to come in early to see a show the day of your shift, you can. Check in at HQ, enjoy the festival, and come back at least 30 minutes before your shift to officially check in. You must return to HQ to officially check in for your shift.
- Pick up your APF t-shirt and put it on before your shift. (note: you’ll get one t-shirt for the entire weekend). There is a tent available at Volunteer HQ to change in.
- Gather in the waiting area and meet your team lead for instructions.
Your Role on the Team
In order to prepare for your shift, PLEASE re-read the overview of your selected Greening team. After you were selected to participate in the program, you should have received an email with an overview for the specific team you’re volunteering with. Please email manar@austinparks.org if you haven’t received this email.
Be sure to check the shift time(s) you selected by logging into GivePulse before your shift day. Your team leads will give you specific directions and will be available to answer questions. Please ask them if you come across a question you can’t find the answer to!
Note: all roles involve patron interaction. Remember that your role as an APF volunteer and team member at the festival is to help promote APF’s mission and to enhance the fan experience. Be friendly, positive, and helpful.
You are a part of a team, and your team is counting on you. Do the right thing and complete all your shifts, and be sure to let us know if you are unable to do so as soon as possible!
Tips for a Successful Shift
- Be on time! On time is defined as 30 minutes before your shift. Take into account traffic delays, getting through huge crowds, etc.
- Check the weather before you come in and be prepared. ACL Fest is rain or shine.
- Travel light and carry your stuff with you. Wear pants/shorts with pockets, bring a light backpack, etc. We don’t have a storage area for volunteer belongings, so please be prepared to keep your things with you. Also, be sure to check out the Allowed & Prohibited Items List.
- Wear comfortable shoes. You’ll be standing and walking quite a bit, both during your shift and the rest of the festival day. A hat helps a lot, too.
- Hydrate! Go green and bring an empty refillable bottle or CamelBak. Volunteer HQ will have water, but there are many water stations/fountains throughout the park.
- Don’t use your cell phone while on shift – focus on your role.
- No smoking – smoking is prohibited in all of Austin’s 300+ parks, trails, and green spaces, so be kind to Austin’s crown jewel, and don’t smoke inside the park!
- Our team leads evaluate all volunteers. Get to know your team leads as best you can. Be helpful. Be flexible. We enter team lead ratings as part of your volunteer record, and negative ratings may affect your ability to volunteer at ACL Fest, and with APF in general.
- You represent Austin Parks Foundation. Unacceptable behavior on shift (including use of alcohol or drugs) subjects you to immediate dismissal and you will be asked to leave the festival. There is zero tolerance on this rule.
- Before/after your shift, please take off your APF volunteer t-shirt. The t-shirt means you are on shift and working. Don’t forget – Volunteer HQ has a changing tent.
Help Make the Festival Greener
ACL Fest has many environmental initiatives to keep it green and clean (including Rock & Recycle and Divert It!) and Austin Parks Foundation encourages you as our volunteers to support these efforts.
- Filling Stations: You can reduce waste by refilling your water container at one of the many CamelBak Filling Stations. Since 2010, the Filling Station team has poured enough water to fill over three million water bottles!
- Save Trees: Download the Official Digital Festival Program, or use your mobile device to download the Official ACL App, which includes the map, a customizable music schedule and more! And remember to enable the App for Push Notifications (important if there is an emergency alert).
Evacuation & Safety Procedures
The safety of all patrons, staff, volunteers, and artists comes first. In the event of evacuation of the park (such as extreme weather):
- Follow the directives of the festival. If the order is to evacuate the park, leave your post in an orderly fashion, along with other patrons and staff.
- When the festival has determined it’s safe to return to the park and announces that the park has reopened, go to Volunteer HQ to check in and receive an assignment for the rest of your shift.
- Make sure to sign up for the mobile app and accept push notifications, so you are notified immediately of emergencies and other important announcements.
- Please visit the Safety Page to learn about additional safety measures and emergency evacuation locations.
Contact Info & Editing Your Shift
Email manar@austinparks.org. With so many volunteers to manage, we prefer email, so drop us a line with any questions. Please be sure to include [ACL2018 Volunteer] in the subject line, to ensure fastest acknowledgment of your email.
The festival is just days away, and we are counting on you and your commitment to complete your assigned shifts. However, if you know you are not going to be able to participate, please log in to GivePulse and cancel the shifts you’d like to cancel AS SOON AS POSSIBLE. The sooner you let us know, the more time we have to make alternate arrangements. Then, also email manar@austinparks.org notifying us of the cancellation. If it is less than 24 hours before your shift, you will not be able to cancel through GivePulse, so please also send us an email immediately at manar@austinparks.org. We have a waiting list of over 600 people who would love to fill your shift if you are unavailable, so please be sure you are able to complete ALL shifts you have signed up for.
If the festival is here and you can no longer volunteer – even during the event – still do what we described about and email us. We are depending on you and we do not over staff teams. If you miss one or all of your shifts during the festival, it will be noted in your records, which will affect your placement in future festivals.
See you there!
Lastly, THANK YOU! Our volunteers are the best and we couldn’t put on such a large festival without you. Take pride in your work and your part in presenting two weekends of music, food, art, and fun to the City of Austin and the world. After your shift, sit back, relax, and enjoy the show! It’s amazing. And YOU helped make it happen.
